Description We are looking for a highly organized and detail-oriented Front Desk Coordinator to join our team on a contract basis. This role is based in Malibu, California, and involves working night shifts to ensure smooth operations and exceptional service for all visitors and staff. Responsibilities: - Welcome and assist visitors, clients, and staff with a friendly and attentive demeanor. - Answer incoming calls, route them appropriately, take messages, and provide accurate information as needed. - Keep the front desk area clean, organized, and presentable at all times. - Schedule appointments and coordinate calendars for meetings and office events. - Process incoming and outgoing mail, deliveries, and packages efficiently. - Monitor office supplies inventory and place orders to maintain adequate stock levels. - Perform data entry tasks and ensure records are accurate and up-to-date. - Support various administrative duties, including filing, scanning, and document preparation. - Assist with onboarding processes, such as preparing paperwork and coordinating visitor arrangements. Requirements - A minimum of 3 years of experience in a front desk or administrative role. - Proficiency in managing multi-line phone systems and providing excellent customer service. - Strong skills in Microsoft Office applications, including Word, Excel, and Outlook. - Exceptional organizational abilities and attention to detail. - Proven experience in data entry and maintaining accurate records. - Effective interpersonal and communication skills for interacting with diverse individuals. - Ability to handle multiple tasks and prioritize responsibilities in a fast-paced environment.
